Features

Built around how you bill

From the first entry to the paid invoice, in one place.

  • Days, hours or minutes

Each project keeps time in its own unit. A consultancy bills days, a studio hours, a support desk minutes, side by side.

  • A currency per project

Each project has its own currency: its rates, budget and expenses are in it, and its work is invoiced in it. The profitability report brings currencies together with ECB exchange rates.

  • Rates that fit your trade

Dated rate cards on the organization, client and project: per hour, per day or per job, with optional billing increments. Past work keeps the rate that applied.

  • Timesheets people fill in

Week, day and month views, last week’s rows carried forward, and whole days filled at once. On a phone the week becomes a day-by-day list.

  • Expenses with receipts

Record costs with their receipts, billable or not, by category and project, and put them on the next invoice.

  • Leave and absence

Leave types, allowances with carry-over, requests and approvals, a team calendar, and time off in lieu or flexitime for overtime.

  • Invoices from tracked work

Turn tracked time and expenses into invoices, write estimates and convert them into invoices, email both with a PDF and a public link, record payments, and repeat invoices on a schedule.

  • Invoices that get paid

Every invoice carries your bank details and a structured payment reference. Clients pay from a public page with each detail ready to copy. Optional reminders go out before and after the due date, and a thank-you once it’s paid.

  • Approvals by week or month

Choose the period per organization, client or project. Approved time is locked, and invoiced time can never be reopened.

  • Reports and budgets

Time, uninvoiced work and profitability for any period, budgets and weekly capacity, all with CSV export.

  • Take all your data with you

At any time, owners and admins can download one archive: every issued invoice and estimate as PDF, and time, expenses, payments, clients and leave as CSV. Personal API tokens give your own tools the same access you have.

Local rules

Built for the EU Working Time Directive

The working-time rules of Directive 2003/88/EC come as a preset, and you can add the rules of your own country.

Checked as time is recorded

  • 48-hour weekly average
  • Daily rest
  • Weekly rest
  • Breaks
  • Night work
  • Missing start and end times
  • Warnings as time is entered, and on approvals
  • Optionally, a period is only submitted once each breach is acknowledged with a note
  • Rules versioned by the date they apply from
  • Each person’s working-time record as PDF or CSV
  • Each rule tested against documented cases that cite the law, with the evidence in the app

Payment details clients scan

Euro invoices to clients in Germany, Austria, Belgium, Finland, the Netherlands, Slovakia and Slovenia carry the EPC QR code their banking apps scan. Swedish organizations put their Bankgiro or Plusgiro number on invoices in kronor, with the OCR reference if they have an OCR agreement. Bank details always follow as text, with an RF creditor reference.

E-invoices to EN 16931

Every issued invoice also comes as Factur-X / ZUGFeRD, a PDF with the invoice data inside, or as a Peppol BIS file for your Peppol provider. Corrections are made with credit notes. The file is created on issue and goes with the email, the public page and the archive.

VAT and reverse charge

Tax rates per line or project with a breakdown on every invoice, your own tax labels, both parties’ VAT and company numbers, and a zero-rate row with your note for reverse charge.

Hourmark helps you keep records and spot possible breaches of the rules you set. It does not replace legal advice.

Languages

Six languages, and your client’s

Hourmark speaks English, German, French, Italian, Spanish and Swedish. Each person picks their own; invoices follow the client’s or project’s language, and task names can be translated.
